We are seeking a proactive and well-organized Administrative Assistant to provide high-quality support to our office operations. You will be the "glue" that keeps our daily office activities running smoothly, managing everything from documentation to office logistics.
Job Responsibilities
Office Administration: Manage daily office operations, including handling incoming/outgoing correspondence, coordinating courier services, and maintaining office supplies.
Scheduling & Meetings: Coordinate calendars, schedule internal/external meetings, prepare meeting agendas, and record minutes.
Document Management: Maintain physical and digital filing systems, draft basic business documents, and ensure sensitive information is securely handled.
Logistics & Travel Support: Arrange travel logistics (flights, hotels, transportation) for staff or visitors as required.
Communication: Act as the primary point of contact for office inquiries from both internal staff and external partners.
Administrative Reporting: Assist in preparing periodic reports (expense reports, office budget tracking, or administrative updates).
Office Projects: Support the HR or Management team in organizing company events, training sessions, or team-building activities.
Job Requirements
Education: Bachelor’s degree in Business Administration, Office Management, or related fields.
Experience: 1–2 years of experience in an administrative or office support role.
Technical Skills:
Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
Familiarity with office equipment (printers, scanners, projectors) and basic video conferencing tools (Zoom, Microsoft Teams).
Soft Skills:
Multitasking: Ability to handle multiple requests simultaneously without compromising quality.
Proactivity: A self-starter attitude with the ability to anticipate office needs before they arise.
Discretion: High level of integrity when dealing with confidential company or employee information.
Communication: Professional and courteous communication skills, both in person and via email/phone.
