We are seeking a detail-oriented and negotiation-savvy Procurement & Admin Officer to streamline our purchasing processes and ensure the smooth operation of our office. You will be the bridge between our company and our suppliers, while also managing the day-to-day administrative needs that keep our workplace functional.

Job Responsibilities
1. Procurement (Purchasing)
Supplier Management: Source, evaluate, and maintain a database of reliable suppliers; build long-term relationships to secure the best pricing and quality.

Purchasing Process: Execute the end-to-end procurement process—from receiving purchase requests, comparing quotes (RFQ), issuing Purchase Orders (PO), to tracking delivery.

Cost Control: Actively negotiate terms (price, payment terms, discounts) to ensure cost-efficiency and budget adherence.

Inventory Control: Monitor office supply and asset levels, ensuring timely reordering to prevent shortages.

2. Administration (Admin)
Office Support: Manage general office maintenance, including facility repairs, utility services, and vendor scheduling.

Documentation: Maintain accurate records of all purchases, contracts, and administrative documents; ensure all paperwork complies with accounting requirements.

Logistics & Assets: Manage office assets, track equipment maintenance schedules, and support logistics for company activities.

Reporting: Prepare monthly reports on purchasing expenditure, vendor performance, and administrative costs.

Job Requirements
Education: Bachelor’s degree in Business Administration, Supply Chain, Logistics, or related fields.

Experience: 2–3+ years of experience in procurement, administration, or office management.

Technical Skills:

Strong proficiency in MS Office (especially Excel) and inventory/purchasing software.

Ability to read and understand contracts and financial documents.

Soft Skills:

Negotiation: Excellent communication and persuasion skills to get the best deals.

Analytical Thinking: Ability to compare quotes and evaluate supplier reliability objectively.

Problem-Solving: Quick to resolve issues related to faulty supplies or delivery delays.

Multi-tasking: Comfortable balancing purchasing deadlines with routine administrative tasks.
