We are looking for a warm, professional, and well-organized Receptionist to be the first point of contact for our company. You will play a vital role in creating a positive first impression for visitors, clients, and partners, while ensuring the front office runs efficiently.
Job Responsibilities
Front Office Management: Welcome visitors in a professional and friendly manner, determine their needs, and direct them to the appropriate person or department.
Communication Handling: Manage the main office telephone line, screen incoming calls, take accurate messages, and redirect inquiries.
Correspondence: Manage incoming and outgoing mail, courier services, and deliveries, ensuring timely distribution.
Meeting Coordination: Prepare meeting rooms, ensure they are clean and equipped with necessary materials (water, stationery, projectors), and manage the room booking schedule.
Office Environment: Maintain the reception area in a neat, professional, and welcoming state at all times.
Administrative Support: Assist the Administrative team with minor tasks such as data entry, document scanning, or photocopying when required.
Security & Safety: Monitor visitor access, maintain the visitor logbook, and follow office security protocols.
Job Requirements
Education: High school diploma; a degree in Hospitality, Business Administration, or related fields is a plus.
Experience: 1–2 years of experience in a receptionist, customer service, or front-desk role.
Technical Skills:
Proficiency in Microsoft Office (Word, Excel, Outlook).
Ability to use office equipment (multi-line phone systems, scanners, printers).
Soft Skills:
Excellent Communication: Clear, polite, and confident verbal and written skills.
Professionalism: A well-groomed appearance and a service-oriented mindset.
Emotional Intelligence: Ability to handle difficult guests or high-pressure situations with grace and patience.
Organization: Strong multitasking skills and attention to detail.
