We are seeking a compassionate, organized, and highly reliable Medical Secretary to manage the administrative functions of our clinical practice. In this role, you will be the first point of contact for our patients, responsible for maintaining patient records, managing appointment schedules, and ensuring a smooth, welcoming environment. Key Responsibilities
Patient Coordination: Serve as the primary liaison for patients, greeting them upon arrival, answering phone inquiries, and managing patient intake processes with empathy and efficiency.
Appointment Management: Coordinate complex provider schedules, manage appointment bookings, cancellations, and reminders using electronic health record (EHR) systems.
Health Record Maintenance: Maintain accurate, up-to-date patient records, ensuring all medical documentation, insurance information, and personal details are handled with strict HIPAA compliance.
Billing & Insurance Support: Assist in gathering insurance verification, preparing billing documentation, and coordinating with insurance providers to facilitate smooth claims processing.
Administrative Support: Manage incoming/outgoing medical correspondence, transcribe clinical notes as needed, and ensure all office supplies and medical forms are adequately stocked.
Clinical Liaison: Act as a communication bridge between patients, physicians, and clinical staff to ensure that patient needs are prioritized and addressed promptly.
Regulatory Compliance: Ensure all office practices, documentation, and patient interactions strictly adhere to healthcare privacy laws and organizational medical policies.
Requirements & Qualifications
Education: High school diploma or equivalent; certification in Medical Office Administration or a degree in Health Information Management is highly preferred.
Experience: 2–4+ years of experience in a medical office, hospital, or clinical setting.
Technical Skills:
Proficiency in Electronic Health Record (EHR) systems and medical practice management software.
Strong aptitude for medical terminology and billing/coding basics.
Advanced proficiency in Microsoft Office and digital office communication tools.
