JOB DESCRIPTION: Event Executive / Event Manager
Job Responsibilities
End-to-End Event Management: Plan, execute, and manage events from concept to post-event evaluation, including product launches, roadshows, activations, and company gatherings.
Project Planning: Develop comprehensive project timelines, event run-sheets, and detailed checklists to ensure all milestones are met on schedule.
Vendor & Supplier Management: Source, negotiate, and coordinate with vendors, including production houses, AV/lighting teams, venues, caterers, and freelance staff. Ensure high-quality output while keeping costs within budget.
Budgeting & Financial Control: Draft detailed budgets, track expenses throughout the event lifecycle, and manage vendor payments to ensure the project remains profitable and on-budget.
On-Site Supervision: Lead on-site execution, managing technical setups, guest registration, flow of events, and troubleshooting any unforeseen issues in real-time.
Stakeholder Coordination: Collaborate with internal departments (Marketing, Sales, Operations) to ensure the event aligns with the broader brand strategy and achieves communication goals.
Health & Safety Compliance: Ensure all event logistics, venue setups, and crowd management plans comply with safety protocols, local regulations, and venue policies.
Post-Event Evaluation: Analyze event success through feedback surveys, attendance metrics, and ROI calculation. Prepare detailed post-event reports with actionable insights for future improvements.
Job Requirements
Education: Bachelor’s degree in Communications, Marketing, Hospitality, Business Administration, or related fields.
Experience:
Event Executive: 1–3 years of experience in event operations or project coordination.
Event Manager: 3–6+ years of experience in managing high-stakes events, showing proven leadership in complex logistics.
Technical Skills:
Proficiency in project management tools (e.g., Notion, Asana, Trello) and MS Office (Excel for budgeting is essential).
Basic knowledge of design/editing software (Canva/CapCut) is a plus for creating event collaterals.
Understanding of production logistics (AV setups, staging, printing/fabrication).
Soft Skills:
Crisis Management: Ability to stay calm under pressure and make rapid decisions when problems arise on-site.
Interpersonal/Communication: Exceptional negotiation and people skills for managing external vendors and diverse internal stakeholders.
Attention to Detail: Meticulous organizational skills to track dozens of moving parts simultaneously.
