We are seeking a highly organized, proactive, and detail-oriented Housekeeping Secretary to provide comprehensive administrative support to the Housekeeping Department and Executive Housekeeper. In this vital role, you will manage documentation, coordinate team activities, handle communications, and ensure smooth day-to-day operations of the housekeeping team. If you excel at multitasking, have strong administrative skills, and thrive in a fast-paced hospitality environment, this position offers an excellent opportunity to support one of the most critical departments in the hotel.
Key Responsibilities
Administrative Support: Provide full secretarial and administrative assistance to the Executive Housekeeper and department supervisors.
Documentation Management: Prepare, maintain, and update housekeeping reports, attendance records, inventory lists, room status reports, and other departmental documents with high accuracy and version control.
Scheduling & Coordination: Manage team schedules, rosters, shift assignments, training sessions, and meetings; coordinate with other departments (Front Office, Engineering, Laundry, etc.).
Communication Hub: Handle internal and external communications, respond to inquiries, and serve as the central point of contact for housekeeping-related matters.
Data Entry & Reporting: Maintain accurate records in hotel systems (PMS, housekeeping software); prepare daily, weekly, and monthly reports on occupancy, cleaning performance, and supplies.
Supply & Inventory Support: Assist with tracking housekeeping supplies, linen, uniforms, and amenities; process purchase requests and vendor coordination.
Guest & Team Support: Process guest requests related to housekeeping, manage lost & found items, and support team welfare activities.
Compliance & Filing: Ensure proper filing systems (physical and digital), maintain confidentiality, and support audits and compliance requirements.
Requirements & Qualifications
Education: High school diploma or higher; diploma/certificate in Hospitality Administration, Secretarial Studies, Business Administration, or related fields is preferred.
Experience: 1–4+ years of administrative, secretarial, or coordinator experience, ideally within a hotel housekeeping or facilities department.
Technical Skills:
Proficiency in MS Office (Word, Excel, PowerPoint) and hotel property management systems (PMS).
Strong typing speed and accuracy in English and Vietnamese.
Familiarity with housekeeping operations and terminology is a significant advantage.
Soft Skills:
Exceptional organizational skills and attention to detail.
Excellent written and verbal communication in English and Vietnamese.
Proactive, discreet, and able to handle confidential information.
Ability to work under pressure, multitask, and adapt to changing priorities in a dynamic environment.
